About Department

The Office of Academic Affairs oversees a variety of academic programmes and departments. It is responsible for introducing new curricular initiatives, designing and reviewing institutional policies, and developing strategies to ensure efficiency in administration across all departments. The Associate Dean, Academics, supports curriculum initiatives, cross-functional communication, faculty hiring, faculty research, teaching and all academic programmes.

Required Education Qualification

  • Master’s degree in Management, Education or relevant field (preferred)
  • Bachelor’s degree in BA / B.Com / Computer Science or relevant discipline
  • 4–7 years of relevant experience in academic administration, enrolment management or data coordination in a higher education institution
  • Prior experience with ERP-based student information systems and institutional data reporting is strongly preferred

Key Responsibility Areas (KRAs)

The Deputy Manager — Semester Data & Student Enrolment is responsible for coordinating student enrolment processes, aggregating institutional student data for surveys and regulatory reporting, managing KYC compliance at the point of admission, and coordinating course registration and lateral admissions. This role does not hold primary custody of student academic records — those remain with the Schools — but acts as the data aggregation and enrolment coordination interface for the Office of Academic Affairs. The incumbent also manages AISHE and other statutory data returns in coordination with the Registrar’s Office.

 

    Institutional Student Data & Reporting
     

  • Aggregate and consolidate student data from Schools for institutional surveys, regulatory returns and leadership reporting
  • Coordinate the preparation and submission of AISHE returns and other statutory data filings in coordination with the Registrar’s Office
  • Prepare analytics and reports on student enrolments, programme distribution and demographic data for leadership review
  • Maintain data accuracy standards and coordinate with Schools to resolve discrepancies in aggregated data

    KYC & Admission Compliance
     

  • Oversee the KYC process for all admitted students: collection, verification and archiving of identity, qualification and statutory documents at the point of admission
  • Maintain a compliance tracker for KYC completion and flag gaps proactively
  • Coordinate with the Admissions team and Finance on document requirements linked to fee processing

    Course Registration Coordination
     

  • Manage the end-to-end coordination of the course registration process each semester: planning windows, student communication, ERP configuration and post-registration closure
  • Facilitate the roll-out of university-wide electives and RSPs (Research Study Projects) in coordination with academic departments and the Academic Planning & Development cluster
  • Monitor registration data and resolve discrepancies or student queries related to course assignment

    Lateral Admissions Coordination
     

  • Coordinate the administrative processing of lateral admissions: application tracking, documentation, eligibility verification and ERP entry
  • Liaise with the Academic Planning & Development cluster for credit mapping sign-off on lateral entrants before processing
  • Maintain records of all lateral admission cases and related correspondence

    Query Handling & Student Communication
     

  • Serve as the primary academic administration contact for student queries related to enrolment, registration and KYC
  • Manage email communication and formal queries from students and internal departments related to enrolment and semester processes

Key Skills

  • Strong attention to detail and accuracy in data aggregation and enrolment management
  • Familiarity with ERP-based student information systems and institutional reporting frameworks
  • Understanding of AISHE, UGC and NAAC data requirements
  • Effective written and verbal communication; ability to coordinate with Schools and handle student queries professionally
