About Department

The Office of Academic Affairs oversees a variety of academic programmes and departments. It is responsible for introducing new curricular initiatives, designing and reviewing institutional policies, and developing strategies to ensure efficiency in administration across all departments. The Associate Dean, Academics, supports curriculum initiatives, cross-functional communication, faculty hiring, faculty research, teaching and all academic programmes.

Required Education Qualification

  • Bachelor’s degree in BA / B.Com / Computer Science or relevant discipline.
  • Two or more years of relevant experience in academic administration or coordination is preferred

Key Responsibility Areas (KRAs)

The Administrative Assistant — Academic Planning & Development supports the Deputy Manager in managing the administrative aspects of curriculum governance, course catalog maintenance, Academic Council coordination and programme documentation. The role requires a highly organised individual who can manage documentation carefully and support multiple concurrent processes related to programme planning and academic governance.

 

    Academic Council Coordination Support
     

  • Assist in preparing and circulating Academic Council meeting materials: agendas, papers, minutes and action trackers
  • Maintain and update records of Academic Council decisions and follow-up actions
  • Organise and archive Academic Council and BOS documentation systematically for governance and audit purposes

    Curriculum & Programme Documentation Support
     

  • Assist the Deputy Manager in maintaining programme documentation: syllabi, credit structures, course descriptions and regulatory submissions
  • Track and file curriculum change proposals and approvals in coordination with Schools
  • Support ERP and catalog updates when curriculum revisions are approved
  • Assist in maintaining credit mapping records and programme structure files

    Course Catalog Maintenance
     

  • Assist in maintaining and updating the university’s course catalog: course codes, credits, prerequisites and programme mapping
  • Coordinate with the ERP/IT team to reflect catalog updates accurately in the system
  • Verify catalog data for accuracy and flag discrepancies to the Deputy Manager
  •  
    Administrative Support
     

  • Handle email communication and internal queries related to curriculum, programme and governance matters
  • Support report preparation, documentation and filing as directed by the Deputy Manager
  • Coordinate meetings and follow-ups within the cluster and with Schools and external stakeholders
  • Assist in preparing inputs for the Academic Calendar process and programme planning documentation

Key Skills

  • Strong attention to detail and accuracy in documentation and data management
  • Good written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ERP/database management systems
  • Ability to handle confidential academic and institutional information with discretion
  • Organised, self-driven and able to manage multiple tasks and deadlines efficiently
