About Department

The Office of Academic Affairs oversees a variety of academic programmes and departments. It is responsible for introducing new curricular initiatives, designing and reviewing institutional policies, and developing strategies to ensure efficiency in administration across all departments. The Associate Dean, Academics, supports curriculum initiatives, cross-functional communication, faculty hiring, faculty research, teaching and all academic programmes.

Required Education Qualification

  • Master’s degree in a relevant discipline (preferred)
  • Bachelor’s degree in B.Arch/ B.Des/ B.Tech/ BA/ B.Com/ Computer Science or relevant discipline
  • 4–7 years of relevant experience in academic administration, HR coordination or office management within a higher education institution
  • Prior exposure to faculty recruitment processes and academic workload planning is strongly preferred

Key Responsibility Areas (KRAs)

The Deputy Manager — Faculty Operations is responsible for managing all faculty-facing academic administration: recruitment coordination, workload and teaching load management, course scheduling inputs, academic budget coordination and Faculty Development Programmes (FDPs). This role is the primary interface between the Office of Academic Affairs and Schools, HR and Finance on all matters related to faculty. The Deputy Manager is expected to operate proactively, independently manage processes, and provide accurate analytics to leadership.

 

    Faculty Recruitment & Onboarding Coordination
     

  • Manage end-to-end coordination of the academic recruitment process: position requisition, CV scanning, panel scheduling, interview logistics and feedback collation
  • Liaise with Schools and HR to ensure hiring timelines align with academic requirements and institutional approvals
  • Maintain a live tracker of all open faculty positions, interview stages and offer status
  • Coordinate pre-joining documentation and ERP onboarding in collaboration with HR
  • One point Coordinator for the appointment of Foreign faculty for various related task e.g. VISA, FRRO etc.

    Teaching Load & Workload Management
     

  • Compile, maintain and analyze faculty teaching load records each semester across all Schools and programmes
  • Monitor contractual teaching obligations versus actual assignments; flag discrepancies proactively
  • Generate workload analytics and reports for the Associate Dean and Assistant Dean on a regular basis
  • Coordinate with timetable owners and Deans of Schools on course allocation and load balancing

    Course Scheduling Support
     

  • Coordinate course offerings and scheduling inputs from Schools for each academic term in alignment with the Academic Calendar
  • Ensure course–faculty assignments are reflected accurately in the ERP system
  • Track and follow up on pending assignments or scheduling gaps before semester commencement
  •  
    Faculty Development Programmes (FDPs)
     

  • Plan, schedule and coordinate the execution of Faculty Development Programmes in collaboration with Schools and HR
  • Maintain records of FDP participation, outcomes and feedback for institutional reporting and NAAC documentation
  • Support identification of external development opportunities for faculty and facilitate institutional partnerships for FDP delivery

    Academic Budget Coordination
     

  • Support compilation of the academic budget related to faculty costs: honoraria, visiting faculty, travel and FDP allocations
  • Coordinate with Finance on budget submissions, reimbursements and expenditure tracking
  • Maintain accurate records of all faculty-related financial transactions for audit and reporting purposes

    Compliance & Reporting
     

  • Maintain faculty-related compliance records for UGC, NAAC and other regulatory submissions as required
  • Prepare reports and analytics on faculty recruitment, workload and FDP participation for leadership review
