About Department

The Office of Examinations is responsible for planning, coordinating, and administering all academic assessment processes of the University in accordance with institutional regulations and academic policies. The Office ensures the integrity, transparency, confidentiality, and timely conduct of examinations, evaluations, and the declaration of results.
The Examinations Office manages both theory-based and studio/project-based assessments, including juries, portfolios, vivas, continuous assessments, and end-term examinations. It functions as a central coordinating body between faculty, academic schools, the academic administration, and external examiners.

Required Education Qualification and Years of Experience

  • Bachelor’s or Master’s degree, preferably in Computer Science or Information Technology.
  • Minimum of four years’ relevant experience in a university or academic institution.

Key Responsibility Areas (KRAs)

    Examination Planning, Coordination, Assessment & Evaluation Management
     

  • Plan, coordinate, and execute end-term, mid-term, jury-based, portfolio, and viva examinations.
  • Prepare detailed examination calendars and jury schedules in consultation with academic schools.
  • Coordinate logistics for both physical and digital assessments, including studio reviews and external juries.
  • Collect, verify, and consolidate internal and external evaluation data.
  • Coordinate moderation, re-evaluation, and special assessments, if any.
  • Ensure the timely and accurate declaration of results.

    Academic Records & Documentation
     

  • Maintain and manage student academic records, grade sheets, transcripts, and degree-related data.
  • Support convocation processes and certification workflows.
  • Ensure confidentiality, accuracy, and compliance with academic regulations.
  • Managing and ensuring the timely submission of data on the Digi Locker and NAD platforms.

    ERP & Digital Examination Systems
     

  • Operate and monitor ERP-based examination modules for registrations, grading, reporting and other tasks.
  • Coordinate with the IT department for system upgrades, testing, and issue resolution.
  • Support the digitisation and automation of examination workflows.

    Academic Governance & Committee Support
     

  • Prepare agenda notes, presentations, and supporting documentation for the Academic Council, Examination Committee, Board of Studies, and Jury Review meetings.
  • Record and circulate Minutes of Meetings (MoM) with clear action points and follow-ups.
  • Track and monitor the implementation of decisions taken by academic and examination-related committees.

    Stakeholder Coordination & Communication
     

  • Act as a liaison between faculty, Deans, programme office, office of academic affairs, external examiners, and administrative offices.
  • Handle student queries, grievances, and appeals related to assessments and results.
  • Ensure timely communication of academic policies, schedules, and outcomes.
  • Ensure adherence to University statutes, academic regulations, and accreditation requirements (UGC/AICTE/NAAC/NIRF).
  • Support internal and external academic audits and inspections.
  • Support the Deputy Controller/Controller in handling data management, scheduling meetings, and ensuring adherence to deadlines.
  • Maintain Standard Operating Procedures (SOPs) for examination and evaluation processes.

Key Skills

  • Strong knowledge of university academic structures, examination regulations, and evaluation systems.
  • Proficiency in ERP and student information systems, and digital examination platforms.
  • Excellent documentation skills, including the preparation of circulars, reports, agendas, and MoMs.
  • Effective written and verbal communication skills.
  • Practical working knowledge of the NAD and Digi Locker portals.
  • Ability to coordinate effectively with faculty, students, external examiners, and administrative departments.
  • Working knowledge of accreditation and compliance requirements (UGC/AICTE/NAAC/NIRF).
  • Proficiency in MS Office / Google Workspace, ERP and reporting tools.
