About Department

Anant’s Foundation Programme is the starting point for design and architecture students. It lays a robust groundwork for students’ academic journey, equips them with essential skills, develops critical thinking and cultivates their capacity to thrive in interdisciplinary settings. The programme aims to foster both tangible and intangible values, enhancing their capacity to observe comprehensively, understand deeply, analyse critically and synthesise meaningfully. This is achieved through a multidisciplinary approach while engaging with communities and stakeholders.

Required Education Qualification and Years of Experience

  • Bachelor’s or Master’s in any field.
  • Around 1-2 years of experience in administrative jobs

Key Responsibility Areas (KRAs)

  • Manage faculty contracts (Visiting & Adjunct), including data collection, internal approvals, and coordination with HR
  • Handle jury member contracts and related documentation
  • Coordinate Wi-Fi and official email access for faculty
  • Calculate and validate teaching loads (Design & Architecture), including course hours and required approvals
  • Liaise with faculty members and academic associates for academic and administrative coordination
  • Oversee remedial class coordination
  • Execute ERP mapping for Design & Architecture programs
  • Support timetable planning and other academic arrangements
  • Facilitate student fee generation processes
  • Coordinate grade submission and COE processes
  • Process student equivalence requests and manage certificate generation
  • Draft and issue guest speaker and final jury invitation letters, along with supporting documentation
  • Prepare and maintain Minutes of Meeting (MoM) documentation
  • Manage ERP operations for all Foundation students (Design & Architecture)
  • Ensure accurate attendance and grade mapping within the ERP system
  • Track student registrations, withdrawals, and removals
  • Oversee end-to-end payment processing for Visiting & Adjunct Faculty (monthly), jury members, and vendors
  • Coordinate travel, accommodation, and meal arrangements for faculty in liaison with the travel office
  • Monitor monthly timesheets and coordinate approvals with HR
  • Maintain student documentation, including new student files, ID generation, and ABC ID creation
  • Coordinate student ID card issuance and related processes
  • Draft and process student letters and withdrawal documentation, including NOC, demand letters, MYSY scholarship letters, stay-back permissions, field visit permissions, and IT-related requests
  • Address and resolve parent grievances in coordination with relevant departments
  • Provide support for university events and audits, and extend assistance to academic associates as required
